An event case study

The Objective

To seamlessly ingest over 50 1 hour breakout sessions per day for 2 days, over 100 items in total.

To edit the camera feed with the AV feed, check lower thirds, correct any audio oi content issues, export and upload a video file of each breakout session to its own webpage hosted on Amazon S3.

The Strategy

We knew this would be a significant task so in the first instance we spent a considerable amount of time researching the numbers involved – the amount of ingested data and required disk storage, the speed that an editor could complete the conversion and correction of each file, the time taken to render each session, test it and then manage and facilitate the upload. It was all about through planning and testing with backup and redundancy.

What we did

With our IT support team we developed a robust 10Gig network linked to a highly specced Synology server.

The Zest4TV event team fed the ingested ProRes files onto this and our team of 4 editors and one manager used 4 edit PCs and 4 dedicated render PCs to produce the material needed in short order, around 12 hours of edit material per person per day. This was speeded up by massive preparation of assets, projects and file structures and several weeks of pre-event testing and rehearsal.

The super high speed Excel internet meant we were able to upload in the evenings without delay using the Taylor Bennett developed CMS software for the Adobe event site.

The results

We have undertaken this project for nearly a decade and each year it gets bigger and more.

Continuing R&D and investment in state of the art equipment means we are able to cope with the demands and for the last 4 years have finished uploading all materials on the same day, nearly 40 hours of HD video edited and on line within 10 hours of it’s creation ready for viewing by the 4000 delegates who all receive free access to the material. This is by any standards remarkable.

After the event we archive the rushes and renders and create 5-10 minute highlight edits from each of 20 hero sessions that Adobe use within their Social Media outreach work. Because of our close integration with the client our team understand their industry and are able to make intelligent editing choices as a result.

The guys at Boreham Media really do get it right every time. Despite the large quantity of video editing and data handling required – and all on a really tight deadline – they consistently overdeliver year-on-year as a key part of Adobe Summit.
